WWCODE HACKATHON TERMS & CONDITIONS
The WWCode Hackathon Terms and Conditions (the "WWCode Hackathon Event Terms”) apply to all events at or related to the WWCode Hackathon. As a condition of registration and participation, attendees, sponsors, volunteers, speakers, organizers, venue staff, media, exhibitors, vendors and other guests (“participant,” or “you”) are required to acknowledge and accept the WWCode Hackathon Event Terms. Participants are also expected to be respectful to other Participants, event staff and contractors, and to abide by Women Who Code’s Code of Conduct and incorporated herein by reference.
Women Who Code and the WWCode Hackathon (the “Event”) reserve the right to change these and any event-related policies from time to time. Any changes will be made with the utmost care for the purpose of creating a fair and enjoyable event experience. Such changes will be effective immediately upon publication, on a going forward basis. You can access the WWCode Hackathon Event Terms at any time.
REGISTRATION AND PAYMENT
All Participants must register to attend the WWCode Hackathon. Individuals with incomplete registrations will not be able to attend the event.
GRANTING PARTICIPANT REGISTRATION AND ADMISSION
Women Who Code or their officially designated event management (together and individually, “Event Staff”), in their sole discretion, reserve the right to accept or decline an individual’s registration. Further, Event Staff reserve the right to prohibit entry or remove any Participant or other individual, whether registered or not, whose conduct, in their sole opinion is not in keeping with the Code of Conduct, the WWCode Hackathon Event Terms, or the character and purpose of the WWCode Hackathon. Without limiting the foregoing, Event Staff reserve the right to remove or refuse entry to any Participant who has registered or gained access under false pretenses, or provided false information. Unauthorized solicitation anywhere at the WWCode Hackathon is prohibited, and may be grounds for removal.
CANCELLATION POLICY
Ticket sales are final. After receiving the Proof of Purchase from the WWCode Hackathon Eventbrite website on your email address, no refunds will be issued. You can donate your ticket to another person at least one week before the Event starts. To donate your ticket as a scholarship to a deserving participant, please email the ticket number and your full name to [email protected] with the subject "donate my ticket." To donate to a specific individual, include the recipient's full name and email address. Donation will be successfully made only if you receive a confirmation email.
WWCode Hackathon tickets are sold only by Women Who Code. Any other sale, including resale, is not allowed.
IDENTIFICATION
To verify registered Participants, Event Staff might ask Participants to present a government-issued photo ID at registration to collect registration materials. When you check in at registration, you will receive a name badge. If you lose your badge it can be replaced for a fee. You must wear your badge at all times during the Event. Individuals are not allowed to pick up badges for Participants other than themselves, unless Event Staff give approval in advance of the Event. Participants may not have another individual participate in their place at any WWCode Hackathon-related activity without prior approval from Event Staff.
ACCESS TO EVENTS
All sessions and networking events require a valid event badge for admission. Persons under the age of 18 must be accompanied by a parent, appointed guardian or chaperone. Release forms for persons under the age of 18 must be completed, signed by parents, an appointed guardian or a chaperone, and approved prior to registering for or attending the Event. For safety and insurance reasons, children younger than 14, including babies in strollers and toddlers, are not allowed at the WWCode Hackathon at any time. For your convenience, Women Who Code will provide free child care services during your participation in the WWCode Hackathon.
CAPTURE AND USE OF IMAGES AND RECORDINGS BY EVENT STAFF
You hereby: (A) grant full permission to Event Staff to capture your image or likeness by any audio and/or visual recording technique (including electronic/ digital photographs or videos) during the WWCode Hackathon, and to store, use, reproduce and create derivative works of these images and recordings (including, but not limited to, for resizing, color correction or digital reformatting) in any media now known or later developed, including for any Women Who Code marketing or other promotional purpose; (B) waive any right to inspect or approve the use of the images or recordings; (C) waive any right to royalties or other compensation arising from or related to the use of the images or recordings; and (D) release, defend, indemnify and hold harmless Event Staff from and against any claims, damages or liability arising from or related to the use of the images or recordings, including but not limited to claims of defamation, invasion of privacy or rights of publicity or copyright infringement, or any misuse, distortion, blurring, alteration, optical illusion or use in composite form that may occur or be produced in taking, processing, reduction or production of the finished product, or its publication or distribution. It is Women Who Code’s intention that any derivative works will continue to accurately reflect the character and spirit of Women Who Code and your participation in the WWCode Hackathon.
RECORDINGS BY PARTICIPANTS
Recordings by a Participant of any kind are prohibited without prior written consent of the Participant being recorded. Participants may not capture or use the materials presented in any meeting/session room or in session notes on display without written permission. Individuals not complying with these requirements will be asked to surrender their recording media and may be asked to leave the Event.
UNSECURED ITEMS
Personal belongings should not be left unattended in exhibit halls, meeting rooms or public areas. Unattended items are subject to removal by security. Event Staff are not responsible for items left unattended, including any damage to or theft of your personal items.
WIRELESS INTERNET SERVICE
Women Who Code may provide wireless access for Participants during the Event, but cannot guarantee full coverage in all locations, all of the time. Please be respectful of your time and usage so that all Participants are able to access the Internet. Excessive usage (e.g., streaming video, gaming, multiple devices) reduces bandwidth and increases cost for Women Who Code. No routers may be attached to the network. Properly secure your computer before accessing the public wireless network. Failure to do so may allow unauthorized access to your laptop as well as potentially introduce viruses to your computer and/or presentation. Event Staff are not responsible for computer viruses or other computer damage.
MOBILE PHONES AND RELATED DEVICESMobile phones, tablets, laptops and any similar electronic devices should be silenced during event sessions. Please exit the event room before answering or beginning a phone conversation.
FOOD AND BEVERAGES
The designated WWCode Hackathon caterers (“Caterer”) shall be the exclusive supplier of food and alcoholic and non-alcoholic beverages served at the Event. Participants shall comply with all applicable local and state liquor laws. You agree not to request, proffer, or serve alcoholic beverages to any minors, or to any persons who, in the opinion of the Caterer or Event Staff, are intoxicated.
SMOKING
For the health and consideration of all Participants, smoking, including e-cigarettes, is not permitted at the WWCode Hackathon.
HOLD HARMLESS
You agree to release, defend, indemnify, and hold harmless Event Staff from any and all claims, demands, and causes of action arising out of or relating to your participation in Women Who Code and use of any associated facilities and child care providers.
EVENT CANCELLATION
Women Who Code will have no liability to you on account of any loss or damage resulting from any delay, failure, or cancellation with respect to the WWCode Hackathon if such delay or failure is caused, in whole or in part, by acts of God, strikes, lockouts, riots, acts of war, earthquake, fire, explosions, or other events, occurrences or causes beyond the control of Women Who Code (each a “Force Majeure Event”). If Women Who Code should cancel the WWCode Hackathon for a reason other than a Force Majeure Event, all processed registration fees will be refunded to registrants. Registrants will be responsible for cancellation of travel arrangements or housing reservations and the applicable fees.
